Having previously developed a Medical Transport system, we were delighted when a new client contacted us with a comprehensive specification. This included a command and control system, driver app, control board and customer application. Called TIMI, this system has made a huge impact to the client's operations.
TIMI contains a comprehensive customer module. Each customer is linked to its record in SAGE, however this module allows the client to setup the pricing rates for each type of job. There are many other features such as a detailed history, authorised call originators and more.
The database holds an extensive list of tens of thousands of locations. These include hospitals, GP Units, RV Points and much more. The locations list is fully searchable, allowing users to add the right one to a job in seconds. They are also geo-tagged for use with job routing.
TIMI links to an online routing API that calculates the mileage and drive-time requirements for every job. The mileages are stored for pricing purposes and the journey time (including traffic) is used to help the Hub manage when to mobilise drivers.
A control board shows all active jobs. There are alerts built in that help control staff make sure that all jobs are running on-time and that drivers have left when they need to. Blue light and diversion indicators also show control staff where they might need to contact the job client.
The driver app allows control to send jobs to drivers which was previously done via a combination of phone calls and paperwork. Once received, the drivers mark their timings. These timings update live throughout the rest of TIMI and are used in the pricing module.
Our client felt that their customers should have the ability to see what is happening with their critical moves which often include organs, patients and surgical teams. To cover this, we provided a customer application that shows the live status of jobs being carried out for them.
Using a combination of automated mileage calculations, customer-specific pricing structures and an intuitive pricing screen, TIMI is capable of pricing even the most complicated of jobs in seconds. Although this is a useful tool for the majority of jobs, there is the ability to manually edit pricing to the smallest detail.
At the end of the invoicing period, the accounts department can very quickly invoice an entire month of work with the click of a button. TIMI works through the list of customers and creates an invoice in SAGE (our client's accounts package). The same invoice number is then used to generate a detailed invoice that is instantly emailed to the customer.
We have used the SAGE SDK to create a seemless link between TIMI and our client's accounts package. This provides a vital time-saving feature by removing the need to double type into multiple systems. It also ensures that the figures in SAGE and TIMI are the same.
It has been a pleasure working with IMT Medical on this project. Their vision was clear from the start. Being cloud-based, it can work from multiple sites throughout the world which also provides them with resilience against local issues on any site.
The smartphone app we developed for TIMI will work even without a data signal. Once the job has been downloaded to the device’s local database, the driver can mark their progress even in the most rural of locations. As soon as the device gets a signal back, all actions are uploaded to the Cloud and are visible in the control center. Another important feature is the diversion logging. As some job types are charged per-mile, any extra mileage covered by the crew needs to be logged so that they can be charged for. This does not go without some authorisation though. Hub Managers receive a notification of the diversion so they can authorise it.
TIMI includes an extensive pre-book module that allows users to create jobs that will be a regular occurrence; these could be regular renal or chemotherapy patients. TIMI automatically shows the fastest route for collecting and dropping all patients on the route and creates bookings as far in advance as is required. These jobs will appear on the control board the day before they are due so that control can assign drivers and vehicles.
Admin has been saved in various ways with this system. The smartphone app logs timings, saving thousands of phone calls and manual logs. The mileage calculations and automated pricing module takes job pricing from 10-15 minutes down to just a few seconds.

IMT Medical Transport Limited by Foursquare Solutions (Foursquare). The aforementioned services having been
provided to us for the past 3 Years.
IMT Medical’s initial concept was to have a bespoke Windows and Cloud based IT control system developed for a
specialist area of medical transport that could capture 4 key areas: Command and Control Software – A Mobile APP
for drivers – A Control Board for active jobs – A Customer Job Viewer. What started out as these 4 key areas,
surpassed our expectations, as Foursquare worked with us to build upon our initial concept and deliver a system
that would capture future state information we had not even thought of.
The central aspect of our vision had been taken and then totally transformed by Foursquare to not only deliver the
key services, but to also capture other areas that would support our business i.e. our 4 ISO standards. This system
became more of an integrated construction of IT that delivered an integrated realisation for us.
What has stood out for us was how Foursquare delivered the on-going system support and maintenance once the
initial version had been completed. Foursquare undertook several major modification proposals for the system, all
included within the original design cost. This ensured that before we underwent internal training, we were satisfied
our system would deliver our key objectives and support our KPIs.
Foursquare delivered a number of on-site training sessions to our staff, which were received with very good
feedback. Our training sessions did highlight a number of feedback matters, which identified how making
adjustments to the user interface area of the system, would benefit the user. Once again, Foursquare took this away
and within a matter of days we had agreed the modifications.
Foursquare upholds the highest standards in their full service and support delivery, demonstrating themselves to be
extremely reputable and skilled.
Our system is now an excellent mechanism for our service delivery and further discussion points continue with
Foursquare as we seek to add other integrated services such a Human Resource management. IMT Medical can,
